When a process is deleted from the work list the cleanup action is called, if any set in the process definition of the deleted process and the process is marked as deleted. That means that the non-admin users cannot see the deleted processes anymore but they still remain in the system inclusive standard process data like process parameters, history, memos, etc.
An administrator can use the Deleted Processes administration dialog for managing the deleted processes. To have an overview about the deleted processes can be useful for example for revision purposes. The dialog can be started by clicking the Deleted Processes menu item.
After the dialog has been started, the list of deleted processes is displayed (see picture below). If there are no deleted processes a message informing about this fact is displayed instead.
The list of deleted processes is in fact a special work list view limited to the deleted processes and with a reduced set of functions. Like in the standard work list a filter and/or the search function can be applied on the list of deleted processes.
The dialog can be left by clicking the Cancel button. Alternatively the dialog can also be left by clicking another menu item but beware, that the list of deleted processes remains set as a current work list view in the background in this case, so when the next time the work list shall be displayed, the list of deleted processes is shown again. Also if a filter is selected from the menu it is applied on the list of deleted processes in this case. The only ways, to switch off the list of deleted processes from to be the current work list view, are the Cancel button in the list or clicking the Work list menu item.
By selecting one or more process rows in the list of deleted processes by checking the check-box at the beginning of the process row and clicking the Delete button the selected processes can be completely deleted from the system.
By selecting a process row in the list of deleted processes by checking the check-box at the beginning of the process row and clicking the View button the information about the deleted process is displayed. Alternatively the clicking on the process id in the list has the same effect.
